WhatsApp bots for business: what can they do, and what should you check?

A WhatsApp bot does not have to be a long conversation with a robot. Sometimes the simplest value is to receive an inquiry in an organized way: to greet, understand why the customer contacted, ask a missing question, and present a clear picture to the team. For this to work well, you need to decide in advance what the bot knows, when it asks for help from a person, and how the employees see the inquiry.

Starting with conversations that are already happening

Review the inquiries from the past week without revealing personal details. Which questions kept repeating? Which details did the team have to ask for again? How many times did someone search for the original message? The answers will help write a conversation path in the language of the customers, instead of a button menu that does not fit reality.

It is worth separating three types of conversation: simple information with an agreed-upon answer; collecting details before handling; a situation that requires discretion or sensitivity. The bot has a different role in each type. It can answer in the first case, collect in the second, and transfer to a person in the third.

Practical example: A customer requests a meeting

A customer writes: "Can I schedule a meeting?". The bot asks about the topic and requests contact details. If a suitable and authorized coordination system is connected, you can check if it is possible to offer dates. If there is no such connection, the bot simply transfers an organized request to a team member. This way, you do not present the customer with a booking option that does not actually exist.

What must be defined before activation?

You need an updated source for the information the bot provides, a phrasing of messages suitable for the business, an exit point to a person, a way to view the conversation, and an agreement on how to handle customer details. You must also check the type of WhatsApp account, access permissions, platform policy, and available connections. A technical capability depends on the business environment and is not determined by a headline on a website.

How to test a bot without being dazzled by a demo?

Try short inquiries, unexpected questions, and a message that the bot is not supposed to answer. Check if the team receives enough information to continue, and if the customer understands when a person will get back to them. A nice script alone is not enough; it is important to see the transition to real work.

Do you want to check if the WhatsApp conversations in the business are suitable for such a path? Tell BOT4U what messages arrive and where the team gets stuck. We will start from the real conversation, not from a ready-made menu.
