How do you connect your CRM, email, and WhatsApp without losing requests?
A CRM is a place where a team can see who reached out, what has already happened, and what the next step is. The problem begins when the conversation stays in WhatsApp or email, and the card in the system remains empty or outdated. Then another employee has to search for messages, the customer repeats themselves, and a task might be forgotten. Automation can help transfer details, but first, you need to agree on which details are important and who is responsible for the follow-up.
Not every message should become a lead
A supplier message, a general question from an existing customer, and a new inquiry are not the same thing. Define what counts as an inquiry that needs to be tracked. Afterward, set minimal fields: name or identifier, contact method, subject, inquiry source, status, and responsible person. Excess fields can turn the registration into a task in itself.
Before connecting systems, ask what happens if a phone number is missing, if the same customer reaches out again, or if an employee has already handled the request. Such rules prevent duplicate cards and confusing transfers.
Practical example: A new inquiry becomes a task
A customer writes that they are interested in a service. In a possible example, a conversation flow collects the request subject and contact method. Then, if the connection to the specific BOT4U CRM is possible and approved, a card is created or updated with a brief summary and a link to the conversation. The responsible person sees what is missing in order to proceed. If there is no suitable connection, you can start with an organized transfer to the team and examine a connection later. There is no point in promising synchronization with every CRM without checking the system and its permissions.
What information should remain visible to people?
A brief summary saves reading time, but it does not always replace the original message. In sensitive or unclear cases, it is important for an employee to be able to see the context and correct information. It is also recommended to determine who is authorized to change a status, what triggers an alert for an unhandled inquiry, and when a task is closed.
Testing before scaling
Go over a few sample inquiries and check: Was the correct card opened? Are the details accurate? Does the employee know what to do now? Does a repeat inquiry connect to the correct history? Only then should you expand the path to additional channels and inquiry types.
If your team is manually copying inquiries to a CRM, tell BOT4U where the messages come from and how you handle them today. You can start with a simple map of the transition from conversation to task.
