AI for business vs. a basic chatbot: what is the practical difference?

"Bot" and "AI" often appear in the same conversation, but they are not the same thing. A simple bot operates according to a pre-written path: if the customer clicks a certain option, a certain answer is displayed. A tool with AI can help understand free-text phrasing, draft a response, or summarize information. In practice, a good solution can combine the two. The decision is not about which word sounds more advanced, but what fits the task and the level of risk.

When is a fixed path enough?

If a customer needs to choose between three services, provide an order number, and get operating hours, a fixed path may be clear and convenient. It is easy to know what will happen at each stage, and it is easier to test all possibilities. There is no need to add AI just because it is available.

When can AI help?

When customers write the same request in dozens of ways, or when the team needs to read free text and extract details from it, AI may help. Even then, it needs boundaries: from which sources is it allowed to answer, what does it do when information is missing, and which cases does it transfer to a person. Persuasive phrasing is not proof that the answer is correct.

Practical example: "When are you open?"

Such a question can receive an answer from a simple path that displays operating hours from an updated source. If the customer asks, "Can I come on the day you close early?", an AI layer can recognize that this is still a hours-related question and find the correct information. But if there is no information about a special day, the best answer is to admit that there is not enough information and transfer for a check, not to invent a time.

How to choose?

Write down five real inquiries without identifying details. Do they all fit into a number of clear options? Start with a simple path. Is there a variety of phrasing or documents that need to be understood? Check where AI can integrate. In both cases, ask to see failures too: what happens when the question is unexpected, when the information is old, or when the customer changes the subject in the middle.
