Processing invoices with AI: what can improve, and what still needs checking?
Invoices reach a business from various places and in different formats. Some arrive as a PDF file, others as an image or a link in an email. When an employee has to open every file, copy data, and search for the corresponding order, the process can become a daily burden. AI can assist in receiving and organizing the information, alongside appropriate human checks.
What can the system prepare for the team?
An automated process can collect invoices from defined channels, identify details such as supplier name, date, document number, and amount, and enter them into an organized record. Depending on existing systems, it is possible to compare the details with an order or record already in the business. This way, the employee reaches a screen where the information is centralized and the original document is available for review.
It is important to remember that data extraction is not an accounting approval. A blurry file, an unusual format, or an unclear field requires a check. Even matching amounts does not replace an examination of the transaction's nature and the professional rules that apply to it.
Defining in advance when the process stops
Before launching such a process, it is worth defining which cases are forwarded for manual review: a duplicate document, a missing detail, an amount different from expected, or an unidentified supplier. Instead of trying to complete information covertly, the system should present what was identified, what is uncertain, and what is required from the person reviewing.
Permissions and documentation are also important. Who is allowed to see invoices? Who is allowed to change data? Is it possible to track a correction that was made? Answers to these questions help make the work stable and clear.
Starting with a real example
You can choose one type of invoice that arrives frequently, examine several typical examples and some exceptions, and measure how long it takes to handle them before and after the change. If more corrections were created than savings, the process should be changed before expansion.
Invoice automation is beneficial when it presents organized information to a person and allows them to check what is important. It should not obscure the way a decision was made.
